Therefore, a letter of recommendation is something that needs to be completed with the utmost professionalism.

  • A list of the person you are recommending accomplishments and personal information
  • A computer, typewriter or other processing unit
  • Paper

  • Black or dark blue pen


Step by step

Step one


Start out by asking the person you are recommending to give you a detailed list of date and time of employment, achievements, and other important factors that would be beneficial in the letter of recommendation.

Step two

Make sure that you want to write the letter, and that you will have at least one to two paragraphs of positive statements you can write for the letter.

Step three

The process of writing a letter or recommendation needs to be honest. If for some reason the letter you would be writing would be false, then you could be affecting the overall reputation you carry in your field as a professional.

Step four

Start out by introducing yourself. You will want to supply your name, position, and time that you have worked with the person you are recommending.

Step five

There should then be a brief overview of how you know the person you are referring. If they worked with you for five years as a personal assistant, this would be where you would put that.

Step six

Now it is a good time to list several of the accomplishments the person has completed while in your employ. This can be goals that were met, programs that were created, projects that were successful etc.

Step seven

It is a good idea to next list important character traits that would provide a high level of respect for the person you are recommending. Therefore statements like "This person is trustworthy and was allowed to open the store on a regular basis." Or "The customer support that was given by Joe was highly admirable"

Step eight

It is also important to list the different job qualifications that have been helpful to the business success. This could be programming, sales, collections, ability to notice fine details etc. The main thing is to get the information of the job skills out there.

Step nine

The letter should not be a friendly this is my pal letter. It needs to be a letter that is professional similar to a resume and cover sheet.

Step ten

In the end of the letter it is time to don one last paragraph that will some up an overall idea of your assessment of that person you are referring work and performance. If there is a reason for the other company to trust, hire, or work with the person you are referring, it should be reiterated here.

Step eleven

Finally, state in the letter that you would be available for further questions. List your contact information for further needs. Sign the bottom of the letter with a black or dark blue pen.

Tips and warnings

  • These letters need to be written only when you feel comfortable in doing so.
  • The letters need to be true. This way there is no reason for issues for the company and yourself in the long run.
  • Give the person you are writing the letter for a chance to read and ask any questions.
